Use Group Allocation in Estimates

In Ediphi, allocating Use Groups to Line Items helps users determine how much of each Use Group should be assigned to a line item. When multiple Use Groups are assigned to a Line Item, it may not be necessary to distribute an equal amount to each. This article explains how to update Use Groups on a line item, allowing you to specify the percentage allocated to each.

How to Create Use Group Allocation Presets

Users can create a general allocation that can be assigned to a line item via the allocation preset dropdown, eliminating the need to manually select Use Groups and set percentages for each item. This allocation preset acts as a “preset” for the Estimate.

In your Estimate, hover your cursor over Use Groups and select Manage Allocation Presets.
Click the New Allocation Preset button.
Input the Allocation name.
Next to your new Allocation, enter in the percentages you’d like to see allocated across each Use Group. If you have yet to add Use Groups to the Estimate, it's recommended to first add Use Groups prior to creating Allocation Presets.
Once finished, click Save.

Note: It is recommended that the Allocation Preset adds up to 100% to ensure proper distribution, otherwise a pop up warning will appear. Once the total equals 100%, the red exclamation mark next to the allocation will turn to a green check mark.

How to Edit Use Group Allocation Presets

In your Estimate, hover your curser over Use Groups.
Select Manage Allocation Presets.
Make any updates you wish (Description or Allocation Percentages).
Click Save.

Note: Updating allocations here automatically applies the change to every line item using that preset. No need to update Line Items individually.

How to Delete Use Group Allocation Presets

In your Estimate, hover your cursor over Use Groups.
Select Manage Allocation Presets.
Right-click on the Allocation you wish to delete.
Select Delete Allocation preset.
Click the Confirm button.
Click Save.

How to Apply Use Group Allocation Presets in a Line Item

Find the Line Item you wish to allocate.
Click on either the Hexagonal Bolt Icon (if there's a Use Group already assigned to the Line Item), or the new Use Group Icon (if no Use Group is currently assigned).

In the Use Groups pop-up window, select an Allocation Preset from the dropdown in the top right corner.

Pro Tip: You have two other allocation options aside from choosing an Allocation Preset.

To evenly distribute the Line Item across all Use Groups choose Proportional from the Allocation Preset dropdown in the upper right-hand corner.

To custom allocate the Use Groups:

Select "None" from the Allocation Preset dropdown.
Choose your desired Use Groups on the right-hand side.
Double-click into the distribution cell to update the percentages.
Click Save.

Once you have selected an Allocation Preset, click Save to apply it to that line item.

Note: If your Allocation Preset is not allocated to 100%, you'll be unable to save and will be presented with a pop-up window providing the remaining percentage to allocate.

To fix this, head back to "Manage Allocation Presets" in the Use Group dropdown.
