Importing a CSV into the UPC

Note: Only Global Admins have the ability to import a CSV into the UPC.

If you need to add items in bulk to the Central UPC, the most efficient way is through a CSV import. Ediphi simplifies this process by allowing you to import data directly from Excel into your project, eliminating the tedious task of copying and pasting items one by one. Additionally, you can set costs for individual products on a per-region basis, or update multiple regions simultaneously all in one seamless process. This powerful feature streamlines the management of your Unit Price Catalog, saving you time and ensuring accuracy.

Preparing your CSV in Excel

In order for this import to be successful, your CSV must follow particular guidelines and include specific items:

  • Create columns in your file that correspond with the columns in the UPC: Product ID, Item Code, Description, UoM, and/or any sort fields you would like to include. If you do not include Product ID, the platform will create new products assigning a new ID to each item automatically.
  • The only required column for a successful import is the Description column. All other columns are optional but will help with accuracy and completeness if included.
  • The Bid Packages used in the CSV must already exist in the platform in order for the import to be successful.
  • If an error occurs during the import, the platform will display a message identifying the specific item that caused the issue, allowing you to make the correction more easily.

Note: In order for the import to work, the file must be saved as a CSV.

Adding New Products to the UPC via Import

  1. Select UPC from the top-right corner of the screen.
  2. Click the Import button and select your CSV file from Excel.

Note: A common import error is "Invalid sort code for Bid Package." This may indicate two things:

  1. The sort codes in your file do not match those already established in the project. To resolve this, update your sort codes to align with the existing project codes.
  2. Sort codes exist in your environment that have a leading 0 (i. e. “0350”). Excel may remove this leading 0 under the Bid Package column upon saving, causing the error. To resolve this, update your sort codes to remove the 0, or format the cells as text within Excel:
    1. Select the cell(s) or column.
    2. Right-click and choose Format Cells.
    3. In the Number tab, select Text from the Category list.
    4. Click OK.
    5. Add the leading 0.

Updating existing products in the UPC via import

Although an export option is not currently available, you can utilize the powerful estimating features within Ediphi to manage your data effectively.

Note: This method will only work if you have less than 2,000 items in your central UPC. If you have more than 2,000, please add line items in sections by filtering with MasterFormats.

  1. Create new temporary project in Ediphi.
  2. Click on Estimate.
  3. Select Add Line Items.
  4. Click on the Filter tab on the right hand side.
  5. Select the Owner drop-down and choose Central.
  6. Select the check box at the very top of the list to bulk select all items in the UPC.
  7. Click Add selected productsReview products, and Add line items.
  8. Hover over Export in the top right corner and select CSV.

  1. Save your CSV and condition the file to update your existing items.
  2. Back in Ediphi, head to the UPC.
  3. Click Import and choose your CSV file the same way instructed above in Adding New Products to the UPC Via Import.

Adding and Updating items in the UPC with Cost Information

In Ediphi, costs are associated with specific regions. Therefore, it is essential to designate the correct region when updating the cost for each item.

  1. In your Excel file, add a Product ID column to the left of all other columns.
  2. Copy the Product ID from the line item you wish to update the cost for.
  3. Paste the Product ID into the corresponding line item under the Product ID column.
  4. Create another column at the end of the column list. If you are looking to update the Total Unit Cost, start by typing the name of the region, followed by an underscore, "total", and "uc."
    1. Example: Boston_total_uc.
  5. Underneath the Boston_total_uc column, type in the cost you are looking to update.
  6. Save your file.
  7. Back in Ediphi, click on UPC in the top right corner.
  8. Click import and choose your new CSV.
  9. Click on the Select Unit Cost Region drop down menu and select the region you used.
  10. You'll notice that your Unit Cost has been updated for the line item.
  • This is consistent for all of the cost denominations on a per-region basis. If you want to update the Labor Cost, Labor Rate, Prod. Rate, etc., you would follow the same syntax used above.
    • ExamplesBoston_labor_costBoston_labor_rateTampa_total_ucTampa_labor_cost, etc.
  • You are able to update multiple regions in the same file. Simply add an additional column using the above syntax to include any additional regions.

Note: Regions are case sensitive, meaning that they must be formatted in your CSV exactly how they are formatted in the UPC. For example, Boston must be written as Boston_total_uc.
