Importing a CSV into the UPC
If you need to add items in bulk to the UPC, the most efficient way is through a CSV import. Ediphi simplifies this process by allowing you to import data directly from Excel into your project, eliminating the tedious task of copying and pasting items one by one. Additionally, you can set costs for individual items on a per-region basis, or update multiple regions simultaneously all in one seamless process. This powerful feature streamlines the management of your Unit Price Catalog, saving you time and ensuring accuracy.

Creating your CSV in Excel
In order for this import to be successful, your CSV must follow particular guidelines and include specific items:
- Create columns in your file that correspond with the columns within the UPC: Product ID, Item Code, Description, UoM, and/or any sort fields you would like to include. If you do not include Product ID, the platform will create new products assigning a new ID to each item automatically.
- The only required column for a successful import is the Description column. All other columns are optional but will help with accuracy and completeness if included.
- The Bid Packages used in the CSV must already exist in the platform in order for the import to be successful.
- If an error occurs during the import, the platform will display a message identifying the specific item that caused the issue, allowing you to make the correction more easily.

Note: In order for the import to work, the file must be saved as a CSV.
Adding new items to the UPC via import
- Select UPC from the top-right corner of the screen.
- Click the Import button.
- Select your CSV from Excel.
- You will notice that your new items have been added to the UPC.
Note: A common import error is "Invalid sort code for Bid Package." This indicates that the sort codes in your file do not match those already established in the project. To resolve this, update your sort codes to align with the existing project codes.
Updating existing items in the UPC via import
Although an export option is not currently available, you can utilize the powerful estimating features within Ediphi to manage your data effectively.
Note: This method will only work if you have less than 2,000 items in your central UPC. If you have more than 2,000, please add line items in sections by filtering with MasterFormats.
- Create new temporary project in Ediphi.
- Click on Estimate.
- Select Add Line Items.
- Click on the Owner drop-down and choose Central.
- Select the check box at the very top of the list to check off all items in the UPC.
- Click Add selected products, Review products, and Add line items.
- Hover over Export and select CSV.
- Save your CSV and edit the file to update your existing items.
- Select UPC at the top of the page.
- Click Import.
- Choose your CSV.
- You'll notice that the items have been updated in the list.
Adding and Updating items in the UPC with Cost Information
In Ediphi, costs are associated with specific regions. Therefore, it is essential to designate the correct region when updating the cost for each item.
- Copy the Product ID from the line item you wish to update the cost for.
- In your Excel file, add a Product ID column to the left of all other columns.
- Paste the Product ID into the corresponding line item under the Product ID column.
- Create another column at the end of the column list. If you are looking to update the Total Unit Cost, start by typing the name of the region, followed by an underscore, "total", and "uc" to look like this example: Boston_total_uc.
- Underneath the Boston_total_uc column, type in the cost you are looking to update.
- Save your file.
- In Ediphi, under Manage UPC, click import.
- Choose your new CSV.
- Click on the Select Unit Cost Region drop down menu and select the region you used.
- You'll notice that your Unit Cost has been updated for the line item.
- This is consistent for all of the cost denominations on a per-region basis. If you wanted to update the Labor Cost, Labor Rate, Prod. Rate, etc., you would follow the same syntax used above. Examples: Boston_labor_cost, Boston_labor_rate, Tampa_total_uc, Tampa_labor_cost, etc.
- You are able to update multiple regions in the same file. Simply add an additional column using the above syntax to include any additional regions.
Note: Regions are case sensitive, meaning that they must be written in your CSV exactly how they are written in the platform. For example, Boston must be written as Boston_total_uc.
