Use Group Allocation in Scope Sheets (Contracting)

In Ediphi, you have the ability to allocate Use Groups to Scope Items within Contracting. This will help you automate the Bidder Scope experience.

Associate Scope Use Groups

Within the Scope Sheet tab of Contracting you can Add/Manage your Use Groups for your Scope Items. Once your Use Groups are ready for use, you can head to your Scope Items to associate those Scope Items to a Use Group by hitting the blue ➕ icon.

You'll be greeted by an Associate Scope Use Groups pop-up, where you can then allocate Use Groups by percentage. This allocation will then be seen in your Scope Sheet under the Total Breakdown (Including Plugs) as soon as you enter in amounts for Documents and other Scope Items via Bid Plugs.

Pro Tip: When you export an Estimate to Contracting via the "Contracting export" button, it will bring over all of your Estimate Use Groups automatically. If you manually create a Bid Package, this will not have any linked Use Groups, so you will have to add those within the Scope Sheet.

Adding Bid Plugs

After Allocating your Use Groups per Scope Item, you can now enter in amounts for your Estimate and Bidders respective columns so the allocation percentages start making sense. This is where Bid Plugs come in. In the sections where you see Red cells, these are Plugs in which you can add per Scope Item.

In the example above, I allocated two Use Groups for the Scope Item "Per Specifications" under Project Bid Documents. I can now add in Plugs for this Scope Item for my Estimate and Bidder columns. This will then calculate the percentages in the Total Breakdown (Including Plugs) section.

Understanding the Breakdown Section

Once you have associated your Use Groups to Scope Items and added your Bid Plugs, the Breakdown section will show some data for you to review. There are two Breakdown sections: Base Bid Breakdown & Total Breakdown (Including Plugs). Both sections will have an Unallocated row totaling the Estimate/Bid amount. As you start adding plugs and amounts/percentages this number will decrease.

  • Base Bid Breakdown

    This section is fully editable. Per Use Group, you can edit the percentage or the dollar amount. When you edit this section, the Total Breakdown will also reflect these changes per Use Group.

  • Total Breakdown (Including Plugs)

    This section is not editable. All cells are automatically filled from the added Plugs, amounts, and Use Group allocations. If you divided a Scope Item into 2 Use Groups, then the total amount you added to a Bidder Scope Item or the Estimate Scope Item will divide into 2. This will then display in the Total Breakdown section. Base Bid Breakdown changes will flow into this section as this is the Total of all items in the Scope Sheet.
