Advanced Systems Setup
Note: Only Global Admins have the ability to create, update, and delete Systems.
After creating a basic System setup, you may want to add more depth and accuracy beyond just UPC line items. Ediphi enables you to further manage Systems with Area Sheet floors, formulas in line items, linking Use Groups, and more.
If you haven't already, we recommend completing the steps in the Basic Systems Setup article first, so you're ready to begin adding other data sets.
In this article
- Linking Use Groups to Systems
- Assigning Area Sheet Floors to Systems
- Adding Units to Systems
- Adding Rooms to Systems
- Adding Geometry Sheets to Systems
- Adding Attributes to Systems
- Adding Quantity Formulas to Systems
Pro Tip: All sections above are optional, depending on how detailed you would like your Systems to be. For example, if you would like to only build an Attributes System to bulk add Attributes into estimates, follow the steps in the Adding Attributes to Systems section.
Linking Use Groups to Systems
Follow these steps to link Use Groups to line items and therefore Systems:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- Hover over Use Groups on the top menu bar and select Add Use Groups.
- Select the applicable Use Groups to add to this Systems estimate.
- Now that you added Use Groups to the estimate, there are two ways to link Use Groups to line items: Right-click to Edit or via the Use Groups column.
- Right-click: On any line item or multiple line items, right-click and select Edit Selected Line Items. In the Edit Line Item modal, under Use Groups, add them via the plus sign icon.
- Use Groups Column: Navigate to the Use Groups column in the Detailed Summary or Line Items view. On any line item, click on the Use Group icon in the cell to open the Add Use Group modal. Add the Use Groups here and click Save. You can then drag the cell down/up to bulk apply to multiple line items at once.
- After linking Use Groups to your line items, select Create System to either create a new system or update an existing System.
Note: When you link line items to Use Groups while creating a System, those line items become tied to the selected Use Groups. As a result, they will only appear in a new estimate once the corresponding Use Group has been added to that System.
Assigning Area Sheet Floors to Systems
Follow these steps to assign Floors to Systems via Quantity Formulas:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- In the estimate, select Area Sheet.
- Add floors for your Below Grade, Above Grade, and Features.
- Fill out the Facade and Gross Structure for the floors you need added to the System.
- Return to the Detailed Summary or Line Items view, and add line items from the UPC to link to the floors you would like added to the System.
- Right-click any line item and open the Quantity Formula Editor.
- In the Quantity Formula Editor, select Area, and the From and To fields will be the specific floors you want shown in estimates that load this System.
- Continue adding floors in the equation to link to more floors as needed.
- After adding Area Sheet Floors and Quantity Formulas for these specific Floors, select Create System to either create a new system or update an existing System. These Area Sheet Floors will now load into your estimate when this System is added.
Note: Area Sheet Floors will only carry over into Systems if they are used within a line item Quantity Formula. We recommend building out your Area Sheet, but keep in mind that the transfer to Systems is triggered only through Quantity Formulas that reference specific floors.
Adding Units to Systems
Follow these steps to add Units to Systems:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- Add at least one Use Group to your estimate, as Units require Use Groups to get started.
- When you add your Use Group(s), open the Units tab within your estimate.
- Add in your Units following our Using Units article.
- After adding Units to your estimate, select Create System to either create a new system or update an existing System. These Units will load in whenever this specific System is added to an estimate, as well as in a line item Quantity Formula.
Note: In a new estimate, make sure to add a Use Group before loading a System that contains Units; otherwise, the Units will not carry over.
Adding Rooms to Systems
Follow these steps to add Rooms to Systems:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- Add at least one Use Group to your estimate, as Rooms require Use Groups to get started.
- When you add your Use Group(s), open the Rooms Detailed Summary tab within your estimate.
- Add in your Rooms following our Using Rooms article.
- After setting up your Rooms in the estimate, select Create System to either create a new system or update an existing System. These Rooms will load in whenever this specific System is added to an estimate, as well as in a line item Quantity Formula.
Note: In a new estimate, make sure to add a Use Group before loading a System that contains Rooms; otherwise, the Rooms will not carry over.
Adding Geometry Sheets to Systems
Follow these steps to add Geometry Sheets to Systems via Quantity Formulas:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- In the estimate, on the top menu bar, select Geometry.
- Add in Geometry Sheets following our Using Geometry Sheets article.
- Return to the Detailed Summary or Line Items view, and add line items from the UPC to link to the Geometry Sheets and Calculations you would like added to the System.
- Right-click any line item and open the Quantity Formula Editor.
- In the Quantity Formula Editor, select Geometry, and then fill in the Geometry Worksheet, Calculation, and Columns fields.
- Continue adding Geometry Sheets in the equation to link to more sheets as needed.
- After adding Geometry Sheets and Quantity Formulas for these specific Sheets, select Create System to either create a new system or update an existing System. These Geometry Sheets will now load into your estimate when this System is added.
Adding Attributes to Systems
Follow these steps to add Attributes to Systems via Quantity Formulas:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- In the estimate, on the top menu bar, select Attributes.
- Add in Attributes following our Using Attributes article.
- Return to the Detailed Summary or Line Items view, and add line items from the UPC to link to the Attributes you would like added to the System.
- Right-click any line item and open the Quantity Formula Editor.
- In the Quantity Formula Editor, select Attributes, and then fill in the Estimate Attribute field.
- Continue adding Attributes in the equation to link to more attribute values as needed.
- After adding Attributes and Quantity Formulas for these specific Sheets, select Create System to either create a new system or update an existing System. These Attributes will now load into your estimate when this System is added.
Adding Quantity Formulas to Systems
Follow these steps to add Quantity Formulas to line items and therefore Systems:
- Navigate to your Systems project, then open the estimate for the System you’d like to work with.
- Add multiple line items from the UPC that you will then assign formulas to.
- After setting up Units, Rooms, Geometry Sheets, and Attributes, you now have the ability to assign those data points within a Quantity Formula in line items.
- Right-click any line item and open the Quantity Formula Editor.
- In the Quantity Formula Editor, select any data point/value that is currently added to your estimate.
- For example, select Rooms and fill out the Room and Column fields. Click Save to add the formula to the line item.
- After setting up your line items with Quantity Formulas, select Create System to either create a new system or update an existing System. These line items with Quantity Formulas will load in whenever this specific System is added to an estimate.
Note: Custom/Inserted line items will not carry over into Systems. Only UPC-based line items will carry over.
