Using Estimates

We’ll be reviewing the basic functionality of the Estimates tab in Ediphi. You can always navigate to the Estimates module from the Project Overview page. If you already have an Estimate open, your tab selections will be listed on the left Side Panel. Once in there, you’ll notice the following tabs: Detailed Summary, Line Items, Schedule of Values, and Markups.

Detailed Summary

If we go to the Detailed Summary tab, you’ll see that things are broken out to another level of granularity. A lot of the time, you can use this page in a similar way as you might use the Line Items page.

You can edit anything in this tab the same way you would in the Line Items page. You can change Quantities, Units of Measurement, Price, Use Group, Name, etc. You can always change the grouping by clicking on the Grouped by dropdown on the top right of the screen and selecting the group you’d like to view the data with. You can group up to 4 groupings at one time. This allows you to break things up and view things in a different way.

There are many actions you can accomplish in this tab, including, having the ability to right-click line items for more context, collapse all groupings, expand all groupings, have up to 4 groupings selected at one time, use the Formula Editor on line items, work with Assemblies, use Keyboard Shortcuts, drag cells up/down to copy data from line item to another, hiding subtotals, and hiding Use Group Quantities.

Line Items

The Line Items tab allows you to see all of your line items that have been added to your estimate in a list view. In this view, you can filter for specific items, as well as hide and show columns on the right side of the screen.

There are many actions you can accomplish in this tab, including having the ability to right-click line items for more context, using the Formula Editor on line items, viewing Assemblies, using Keyboard Shortcuts, dragging cells up/down to copy data from one line item to another, and filtering & searching line items.

In the image below, we are filtering for all "Finish" items via the Source filter.

Schedule of Values

The Schedule of Values tab allows you to see all of your line items broken out by Group (Bid Package, Use Groups, Alternate, System, MasterFormat, and UniFormat). You can always change the group by clicking on the Grouped by dropdown on the top right of the screen and selecting the group you’d like to view the data with.

In the Schedule of Values tab, you can see things like the Total Cost of each line item as well as their Cost per Gross Square Foot, and we can see that these costs relate to the project-specific Use Groups. If you have multiple Use Groups in your project, it will break those out in adjacent columns. Each Use Group will show the Cost per Gross Square Foot as well as the Cost Per Unit.

You can also view some high-level information about the building's Gross Area and Unit Counts, and at the bottom, we can see our cost totaled for our Trades (Total Cost), or Markups (Markups Total), and the Trades and Markups combined for the Grand Total.

You can always download your schedule of values by clicking on Export, which will give you the option to choose from .csv, .json, or from our Report Builder options: Export as PDF, Excel, or Variance Report.

Markups

In the Markups tab, we can see how our markups are calculated. These are eventually totaled down at the bottom, but this is where you can create the calculations that give you these markups. You can create a new markup by clicking on the + Add Markup button.

A markup will be added to the list, which you can then edit as needed by adding a markup percentage and a description of the markup. The total cost will be automatically calculated by a dynamic formula using the values of the Cost of Trades + All Above Markups (but you can always edit this formula by clicking on the blue beaker icon).

There are many actions you can accomplish within Markups, including using the Formula Editor on line items, using keyboard shortcuts, dragging cells up/down to copy data from one line item to another, and working with Alternate markups.

Right-Click Options

  • Right-clicking a specific line item in Detailed Summary or Line Items gives you quick access to these actions:
    • Show Audit Trail (View the full change history log for this line item)
    • Edit Quantity Formula (Opens the Formula Editor to adjust the quantity calculation)
    • Clear Quantity Formula (Removes the formula applied to the line item)
    • Edit/Make an Assembly (Opens the Assembly creation window)
    • Edit Line Item (Opens the edit panel to assign Sort Fields and modify details)
    • Insert Line Item (Adds a custom line item to your view)
    • Duplicate Line Item (Creates a copy of the line item; you can edit Sort Fields before duplicating)
    • Delete Line Item (Removes the line item from the view; this does not delete it from the UPC)
    • Export Line Item (Copies the line item into another project and estimate)
    • Historical Pricing (Opens the Historical Pricing Tracker to see pricing across all projects)
    • Unlink UPC Product (Disconnects the line item from its linked UPC data)
    • Swap UPC Product (Replaces this line item with another product from the UPC)
    • Update All Similar Line Items (Opens the Update Pricing window to adjust pricing in bulk)
    • Reset to UPC Default Pricing (Reverts the line item’s pricing to the UPC default)

Note: The options available while right-clicking will vary based on factors like the Source of the Line Item (UPC, Custom), the status of the estimate (Locked), etc.

  • In the Markups tab, if you right-click on a specific markup, the platform will give you the following options:
    • Move Up (Moves the markup up on the list)
    • Move Down (Moves the markup down on the list)
    • Add Markup Above (Adds a new markup above this markup)
    • Add Markup Below (Adds a new markup below this markup)
    • Duplicate (Creates a duplicate of this markup)
    • Edit Formula (Edits the dynamic formula of the markup)
    • Delete (Deletes the markup)

FAQs

  • Do I have the ability to do math straight from the cells?

Yes! Users have the ability to add, subtract, multiply, and divide within cells! Simply enter an equation (for example, 1+1), press Enter, and the cell will show the correct total (2).

  • In the Detailed Summary, can I edit the overline totals of my groupings?

Yes, you have the ability to enter summary level Quantity and UoM values per Grouping (overline edits).

  • I would like to rearrange my columns. Can I do this?

Yes, you can! You have the ability to drag and drop columns to re-order them, as well as open the Column controls on the right of the page and rearrange them there.

  • How do I quickly move a selection of line items to work with them in Excel?

You have the ability to highlight a range of line items to either bulk edit or view the selected total. Additionally, you can copy the selected range of line items (or copy the whole table by holding CTRL + A to select all line items and then CTRL + C to copy) and paste them into a workbook like Microsoft Excel or Google Sheets.   • If I leave the page, will my view stay the same when I return?

Yes! When you leave this view, the format will persist. For example, the groupings will be maintained, and line items that are collapsed or expanded will remain the same when you re-open the view.

  • In the Line Items view, I would like my Order column to be in ascending order. How do I do this?

Within the view, you can click on the column headers to sort by ascending, descending, and click again to get back to the default order.

  • I'm in the Detailed Summary and noticed some new columns: Markups, Unit Cost +, and Total +. Where did these come from?

In the Markups tab, click on the 3 dots (ellipses) on the top right, and select Show Above the Line Markups. When Above the Line Markups are enabled, you will see a Unit Cost+, Markups, and Total+ columns.

  • I'm noticing some symbols in the Qty columns. What do the beaker icon, cog icon, and link icon mean?

The Beaker Icon opens up the Formula Editor. The Cog icon opens up an Assembly created from that line item. The Link icon connects you to the detailed line item in another part of the platform. For instance, from the Detailed Summary, it links you to either Units or Rooms line items.
